Overview

The Member Search page is your primary tool for looking up member accounts and managing all member-related activities. From this single page, you can view account details, track call history, analyze engagement, record follow-up notes, and more.


How to Search for a Member

  1. Navigate to Member Search from the sidebar menu
  2. Enter the Member ID in the search box
  3. Click the Search button (or press Enter)

The page will load all available information for that member.

Tip: You can also access a member directly via URL: member_search.php?id=123456


Page Sections

Once you search for a member, the page displays several information sections organized into tabs and cards.

Tab Navigation

The results area contains 5 main tabs:

Analytics 📊 Engagement scores and insights

Click any tab to switch between views.


Tab Details

1. Search Results Tab

This is the default view showing the member's core information:

Account Information (Left Side) | Field | Description | |-------|-------------| | Account | The member's unique ID number | | Member Name | First and last name | | Physical Address | Street address, city, state, ZIP | | Phone Number | Primary contact number | | Phone 2 | Secondary phone (if available) |

Quick Actions (Right Side)

  • Call Member — Initiates a call to the member (click-to-dial)
  • Generate Letter — Creates a letter from templates
  • Create Alert — Adds a warning flag to the account
  • Payment Promise — Records a promise to pay

2. Shares Tab

Displays all savings/share accounts the member holds:

Column Description
Account No The share account number
Description Type of account (Regular Shares, Christmas Club, etc.)
Balance Current dollar balance
Status Active or Closed

3. Loans Tab

Shows all loan accounts for the member:

Column Description
Account No The loan account number
Description Type of loan (Auto, Personal, Mortgage, etc.)
Balance Outstanding loan balance
Status Current loan status

4. Call Log Tab

Tracks all phone interactions with the member:

Column Description
Date/Time When the call occurred
Direction Inbound (member called) or Outbound (you called)
Phone Number Number used for the call
Extension Agent extension (if applicable)
Duration Length of call (minutes:seconds)
Notes Summary of what was discussed

Actions:

  • Click Log Call to manually record a new call
  • Calls are automatically logged when using click-to-dial

5. Analytics Tab

Provides insights into member engagement and value:

Member Snapshot | Metric | Description | |--------|-------------| | Member Since | How long they've been a member | | Products Held | Number of accounts/products | | Last Contact | Days since last interaction | | Total Relationship | Combined value of all accounts | | Share Balance | Total in savings accounts | | Loan Balance | Total owed on loans |

Engagement Score A calculated score (0-100) showing how engaged the member is, broken down by:

  • Interaction Frequency
  • Product Diversity
  • Relationship Value
  • Tenure
  • Contact Recency

Cross-Sell Opportunities Lists products the member doesn't have yet — potential sales opportunities.

Household Members Shows other members living at the same address (clickable to view their accounts).

Interaction Summary

  • Total Calls (all time)
  • Calls This Year
  • Average Call Duration

Alert Badges

When a member has special conditions, colored badges appear in the tab bar:

Badge Color Meaning
Alerts 🔴 Red Active warnings on the account (bankruptcy, repossession, etc.)
Payment Promise 🟡 Yellow Member has made a promise to pay

Click either badge to view details.


Follow-Up Notes Section

Below the tabs, you'll find the Follow Up Notes card showing the history of notes and actions taken on this account:

Column Description
Date When the note was entered
Entered By Username of the person who added it
Delinquent Number of days the account was past due
Notes Details of the follow-up action

Actions:

  • Add Follow Up — Record a new note with delinquency status
  • Create Report — Generate a report of all follow-up activity

Available Actions

Call Member

Click the green Call Member button to initiate a call. If the member has multiple phone numbers, a dropdown appears to select which number to dial.

Log Call

Opens a form to manually record a call:

  • Call Direction (Inbound/Outbound)
  • Phone Number
  • Duration
  • Notes

Generate Letter

Select from pre-configured letter templates to create correspondence for the member. The letter auto-fills with member information.

Create Alert

Add a warning to the account:

  • Categories: Bankruptcy, Total Loss, Repossession, Charged off Loan
  • Details: Rich text description of the situation

Payment Promise

Record when a member commits to making a payment:

  • Loan Number
  • Payment Amount
  • Promise Date
  • Notes

The Payment Promise feature includes a calendar view showing all promises and their status (pending, kept, broken, past due).

Add Follow Up

Document collection activities or member interactions:

  • Loan Number
  • Delinquent Days
  • Detailed Notes (rich text editor)

Tips for Using Member Search

  1. Use the Call Log — Always log your calls to maintain a complete interaction history
  2. Check Analytics — Review the engagement score before outreach to understand the member's relationship
  3. Look for Cross-Sell — The Analytics tab shows products the member might need
  4. Note Alerts — Always check for red alert badges before taking action
  5. Review Household — Other family members at the same address may provide helpful context

Troubleshooting

"No results found"

  • Verify the Member ID is correct
  • Check for typos or extra spaces

"No call history found"

  • This is normal for new members or those never contacted
  • Click "Log Call" to add the first record

"Unable to load analytics"

  • The analytics service may be temporarily unavailable
  • Try refreshing the page
